In Data entry workflow, you can change the assignments for data entry workflow tasks. You can do so in several ways:

  • Delegate the task assignment to another user.
  • Reassign an existing task to another user.

Task assignment delegation

You can use a task assignment delegation to, in advance, schedule the delegation of data entry workflow tasks.

For example, you can have scheduled a vacation or some days off. For this period, you can schedule the delegation of your workflow task assignments.

Setup

As a Data entry workflow user, use the My workflow assignment delegations page to:

  • Create and edit assignment delegations for your workflow tasks. You can only edit an assignment delegation if it is disabled. Note: Before a created or edited assignment delegation is applied, the Data entry workflow manager must enable it. Therefore, as a Data entry workflow user, notify the manager that you have created or edited an assignment delegation.
  • View assignments that are delegated from other users to you.

As a Data entry workflow manager, use the All workflow assignment delegations page to:

  • Delegate data entry workflow task assignments to other users.
  • Edit disabled workflow task assignment delegations.
  • Enable or disable workflow task assignment delegations that are created by you or by Data entry workflow users.

You can set up assignment delegations in a series. Example: User A delegates all assignments to user B. User B delegates all assignments to user C. In this case, user C gets all assignments of user A and user B.

Note: Make sure, a delegated-to user has at least the Data entry workflow user role with related rights. 

Process

When an assignment delegation is enabled and active, it is applied according to the workflow template step assignments setup.

Based on this setup, an assignment can be delegated for:

  • The first step of a workflow template. In this case, for the delegated-to user, the buttons to start the workflow become available on the applicable forms.
  • A next step in a workflow template. In this case, when a workflow task is created, the task is assigned to the delegated-to user.

Note: When an assignment delegation becomes applicable, a workflow task can already exist. In this case, the assignment is not changed for the existing workflow task.

Task reassignment

As a Data entry workflow manager, you can reassign an existing data entry workflow task to another user.

For example, a data entry workflow task is created and assigned to a user. However, due to illness this user is unavailable to do the task. To get the task done, you can reassign the task to another user.

 

Note: Make sure, a reassigned-to user has at least the Data entry workflow user role with related rights.
