In the EDI staging journal, several statuses are used. These statuses are explained in this topic.
Journal status
The journal status indicates the status of the whole EDI staging journal.
An EDI staging journal can have these journal statuses:
- New: The EDI staging journal is not yet validated. Note: This status is only used if you have set up postponed validation. If you use the Tutorial - EDI messages, this status is not used.
- Approved: The applicable journal validations are met, warnings are accepted, or lines or addresses with warnings are canceled. The journal status is only set to Approved if the status for the header, all lines, and all addresses is Approved, Accepted, or Canceled.
- Sent: Only used if you use the staging journal for outbound messages as well. If you use the Tutorial - EDI messages, this status is not used.
- Canceled: The EDI staging journal is canceled manually.
- On hold: The EDI staging journal is manually put on hold. You do so if you do not want it to be processed yet.
- Rejected: The applicable journal validations are not met. Errors or warnings are given for the header, lines, or addresses.
Message status
The message status indicates if the EDI staging journal is processed to the applicable table.
An EDI staging journal can have these message statuses:
- To be processed: The initial status. Approved EDI staging journals with this status are automatically processed.
- Processed: The EDI staging journal is processed, and the data is inserted in the applicable table.
- Error: Processing the EDI staging journal resulted in errors, and it is not processed.
Header status
The header status indicates the validation status of the EDI staging journal header only.
A header can have these statuses:
- New: The header is not yet validated. Note: This status is only used if you have set up postponed validation. If you use the Tutorial - EDI messages, this status is not used.
- Approved: The applicable journal validations are met for the header.
- Rejected: The applicable journal validations are not met. Errors or warnings are given for the header.
- Accepted: Journal validation warnings are given for the header, but these are accepted manually. Note: If you have accepted warnings, you must manually approve the EDI staging journal.
Line status
The line status indicates the validation status of the EDI staging journal line only.
A line can have these statuses:
- New: The line is not yet validated. Note: This status is only used if you have set up postponed validation. If you use the Tutorial - EDI messages, this status is not used.
- Approved: The applicable journal validations are met for the line.
- Canceled: The line is canceled manually.
- Rejected: The applicable journal validations are not met. Errors or warnings are given for the line.
- Accepted: Journal validation warnings are given for the line, but these are accepted manually. Note: If you have accepted warnings, you must manually approve the EDI staging journal
Address status
The address status indicates the validation status of the EDI staging journal address only. An address can have these statuses:
- New: The address is not yet validated. Note: This status is only used if you have set up postponed validation. If you use the Tutorial - EDI messages, this status is not used.
- Approved: The applicable journal validations are met for the address.
- Canceled: The address is canceled manually.
- Rejected: The applicable journal validations are not met. Errors or warnings are given for the address.
- Accepted: Journal validation warnings are given for the address, but these are accepted manually. Note: If you have accepted warnings, you must manually approve the EDI staging journal.
Note:
If journal validation errors are given, you have two options:
- Solve the errors.
- Cancel the EDI staging journal, line, or address.
You cannot accept headers, lines, or addresses with errors. If you do so, and approve the EDI staging journal, the header, line, or address with errors is again set to Rejected.
If the errors are solved or lines or addresses with errors are canceled, you can approve the EDI staging journal.
