You can use a project change order WBS to change an existing project WBS. This topic explains what changes you can make on the project change order WBS and what the result is of these changes.

Changed projects

You can use a project change order WBS to change data for an existing project, which is represented by the top record on the WBS:

  • You cannot manually change the data of an existing project.
  • The project on the change order WBS originally gets the start date and finish date from the project. These dates can change based on its subprojects or activities. If you change, for one of the activities: 
    • The start date to a date before the current project start date, the project start date is changed to this date.
    • The start date to a date after the current project start date, the project start date is not changed.
    • The finish date to a date after the current project finish date, the project finish date is changed to this date.
    • The finish date to a date before the current project finish date, the project finish date is not changed.
  • If you change one of the subprojects or activities, the change type of the project record is also set to Changed.

Changed subprojects

You can use a project change order WBS to change data for an existing subproject:

  • You can manually change the task name of the subproject.
  • The Setup tab is blocked for all updates.
  • A subproject on the change order WBS originally gets the start date and finish date from the related subproject. These dates can change based on its subprojects or activities. If you change, for one of the activities: 
    • The start date to a date before the current subproject start date, the subproject start date is changed to this date.
    • The start date to a date after the current subproject start date, the subproject start date is not changed.
    • The finish date to a date after the current subproject finish date, the subproject finish date is changed to this date.
    • The finish date to a date before the current subproject finish date, the subproject finish date is not changed.
  • If you change an existing subproject or one of its existing subprojects or activities, the change type of the subproject is also set to Changed.

Changed activities

You can use a project change order WBS to change data for an existing activity:

  • You can change all field values for an activity.
  • For each activity, you have the same functionality available as for the project quotation WBS.
  • You can use VPP to plan the changed activities.
  • If you change an existing activity, the change type of the activity is set to Changed.

Changed estimate lines

You can use a project change order WBS to change data for an existing estimate line:

  • If you change an existing estimate line, the change type is set to Changed. Note: an estimate line change can also be the result of the WBS calculation. This is applicable if a calculation model is used on the activity, and you changed at least one of the variables on the activity.
  • If you change an existing estimate line, the change type of the activity is also set to Changed.
  • Changes on estimate lines are reflected on the project change order lines. The changed estimate line is shown twice:
    • A negative line with the old values.
    • A positive line with the new values.

New sub projects

You can use a project change order WBS to add a new subproject to an existing project or subproject:

  • You can only add a subproject to the project or a subproject. So, only to records with task type Project.
  • You can edit all fields of a new subproject.
  • The start date and finish date of the subproject are based on the dates of the activities and subprojects that you add to it.
  • A new subproject gets the change type New.
  • For its parent existing (sub)project, the change type is set to Changed.

New activities

You can use a project change order WBS to add a new activity to the project or a subproject:

  • You can indent a new activity to another activity.
  • For each new activity, you have the same functionality available as for the project quotation WBS.
  • You can use VPP to plan the new activities.
  • A new activity gets the change type New.
  • For its parent existing (sub)project, the change type is set to Changed.

New estimate lines

You can use a project change order WBS to add a new estimate line to an activity:

  • A new estimate line gets the change type New.
  • If you add an estimate line, the change type of the activity is set to Changed.

Stopped activities

You cannot use a project change order WBS to delete an existing activity. The reason is that forecast records and transaction records can exist. So, you can only stop existing activities:

  • To stop an activity, select it and click Stop activity. As a result, the change type is set to Stopped.
  • For the estimate lines of the activity, the change type is also set to Stopped.
  • The estimate lines of the activity are added as negative lines to the project change order lines.
  • After transfer to project, the activity is still part of the project and project WBS. On the project WBS overview, the activity is set to Stopped.

Removed estimate lines

You can use a project change order WBS to remove an existing estimate line:

  • To remove an estimate line, select it and click Remove. As a result, the change type is set to Stopped.
  • A stopped estimate line is added as a negative line to the project change order lines.
  • If you remove an estimate line, the change type of the activity is set to Changed.
  • After transfer to project, the estimate line is removed from the activity on the project.

Note

If you run the WBS calculation for:

  • The project (select the top record), the calculation is done for all records.
  • A subproject, the calculation is also done for its subprojects and activities.
  • An activity, the calculation is only done for the selected activity.

You must at least run the WBS calculation for the whole WBS once before you can transfer the project change order to the project.
